મહેમાનોની વ્યવસ્થિત અને પરફેક્ટ યાદી એ કોઈપણ પ્રસંગની સફળતાની અનિવાર્ય જરૂરિયાત છે. આ માટે દરેક સ્વજનોના પોસ્ટલ એડ્રેસ, મોબાઈલ નંબરો તથા ઈ-મેઈલ આઈ.ડી. વિ. વિગતો એકત્રિત કરવી જરૂરી છે.

આ માટે પ્રસંગ પહેલા ઘણા સમયથી જ તૈયારી કરવી જરૂરી છે. આ બધી વિગતો ફોન-કૉલથી કે વોટ્સએપ દ્વારા એકત્રિક કરી શકાય. સૂક્ષ્મ વિગતો મેળવવા માટે હવે લોકો ગુગલ ફોર્મ્સનો ઉપયોગ પણ કરી રહ્યાં છે.

સ્વજનોની આ વિગતો ગ્રૂપવાઈઝ એકત્રિત કરવાથી કોઈ સગાં-સંબંધી રહી જતા નથી તે પણ સુનિશ્ચિત થશે. વધુમાં, ગ્રૂપવાઈઝ સંખ્યા અલગ અલગ મળી રહેવાથી ઉતારા, રીટર્ન ફૂડ(ભાતુ). રીટર્ન ગીફ્ટ વિ. જેવી બાબતોને હેન્ડલ કરવામાં પણ ઘણી સરળતા રહેશે. ગ્રૂપ કે કેટેગરી નીચે મુજબ સામાન્ય રીતે હોઈ શકે.
